How do I format a message in the Inbox?
Updated October 19, 2026
Emails and internal notes can carry formatting, links and images. LinkedIn, WhatsApp and Telegram messages are sent as plain text, so the composer offers no formatting for them.
Step by step
- In an email or a note, write your text.
- Select the words you want to format. A small menu appears above them.
- Click Bold, Italic, Underline, Insert Link or Insert image.
- For Insert Link, type the address in the box that opens and confirm. To remove a link, select it, click Insert Link again and clear the address.
You can also use ⌘ B, ⌘ I and ⌘ U (Ctrl on Windows) for bold, italic and underline.
Add an image to the text
- Click Insert image in the toolbar and choose a picture, or drag it onto the message (you see Drop images here), or paste it.
- An image in the text can be up to 500KB. A bigger one is refused when you drop or paste it. Chosen with Insert image, it's added as an attachment instead.
- Insert image is there in emails and in notes.
Add an emoji
Click Emoji in the toolbar and pick one. It works on every channel. When the composer is narrow, the toolbar shrinks: Emoji is hidden, and AI Rewrite and the email switches move into the More options menu (⋯).
Email signature
When the email account has a signature, the composer shows a Signature switch ("Include your email signature"). Turn it on to add the signature at the end of your email, where you can see it before sending, or off to leave it out. It's on by default. In a narrow composer, the switch is Include signature in the More options menu (⋯).
You write and choose signatures in Settings → Accounts: open the email account and find Email Signature, then click Add signature.
Good to know
- There's no text color, font size or highlight.
- Plain Enter starts a new line. ⌘ Enter sends.
- On LinkedIn, WhatsApp and Telegram, an image you drag onto the composer becomes an attachment.
