How do I choose which meetings the bot records?
Updated October 19, 2026
The Recording mode decides which meetings of your connected calendars the bot, Breakcold CRM Notetaker, joins on its own. It is one setting for the whole workspace.
Step by step
- Open Settings, then Meetings, and click the Recording mode list.
- Pick when the bot records: Internal meetings only, External meetings only, All meetings or None. Your choice saves at once.
The four modes
- External meetings only: meetings with at least one guest from outside your company. This is the default for new workspaces.
- Internal meetings only: meetings where every guest is from your company.
- All meetings: every event that has a meeting link.
- None: the bot never joins on its own.
A meeting is internal when every guest's email address has the same domain as the calendar account it comes from. For example, on a calendar connected as anna@acme.example, a meeting with only @acme.example guests is internal.
Good to know
- The change applies to every upcoming meeting right away, including the ones already planned.
- You can still skip or force one meeting from the Upcoming list. How do I skip or force-record a single meeting?
- None is a hard stop: Force record doesn't override it. Join Meeting still works.
- If your calendar uses a personal address, such as @gmail.com, other @gmail.com guests count as internal.
FAQ
Why didn't the bot join my meeting?
On the Meetings page, hover Won't record on the meeting to see why. The usual reasons:
- the invite has no meeting link (the meeting shows Not a call);
- the recording mode excludes it (an internal meeting in External meetings only, or the reverse), or the mode is None;
- someone clicked Stop recording on it;
- the event was cancelled, or was added after it started;
- the organization had fewer than 17.5 tokens. You then get a "Meeting not recorded" notification;
- the calendar isn't connected in Settings → Accounts.
Can each member have their own recording mode?
No. Members can still skip or force their own meetings.
