How do I create contacts automatically from meeting participants?
Updated October 19, 2026
Breakcold links each meeting to the records of its guests, by email address. With Auto-create records from participants set to Enabled, a guest who matches no record becomes a new person.
Step by step
- Open Settings, then Meetings, and click the Auto-create records from participants list.
- Pick Enabled to create a person for every guest that matches no record, or Disabled to only link guests to records you already have. Your choice saves at once.
Good to know
- New workspaces start with Enabled.
- Matching uses the guest's email address. A guest without an email in the invite is never created.
- Your teammates in the workspace are never created as contacts.
- A new person gets the guest's name from the invite, or a name built from the email (john.doe@acme.example becomes John Doe). The email is saved as a work email, and the owner is the person whose calendar the meeting comes from.
- The new person is linked to a company by email domain. If no company has that domain, Breakcold creates one, unless the domain is a personal one such as gmail.com or Auto-create companies from email domains is off in Settings → Enrichment.
- Your automatic enrichment rules for new people run on them too, and may use tokens.
- The setting also applies to meetings imported from Granola.
- If you unlink a record from a meeting, Breakcold doesn't link it again.
FAQ
Does it create records for meetings the bot didn't record?
No. Guests are linked, and created, for meetings the bot is set to record, as soon as the recording is planned, and for meetings imported from Granola. A calendar event the bot skips doesn't create records.
Can I turn it off for one meeting?
No. It's one setting for the workspace. You can unlink or delete a record afterwards.
