How do I mention a teammate?
Updated October 19, 2026
Mention a teammate to bring them into a record, a task or a conversation. Type @, pick their name, and they get a Mentions notification that links to what you wrote.
You can mention someone in four places:
- Notes on a record: in the body of the note.
- Tasks: in the task's Description (click Description to show it). Writing @ and their first name in the task name works too.
- Conversations: in the composer's Note tab. A note stays inside Breakcold: the contact never sees it. Mentions don't work in Reply, Reply All or Forward.
- Activities: in the Description of a logged activity.
Step by step
- Open a record and click the Notes tab.
- Click Create note, or click an existing note to open it.
- Type @ in the body of the note. A list of your workspace's members opens: keep typing a name to narrow it down, then click the teammate.
- Finish your note and click Create note. Your teammate gets a notification. In a note that already exists, your changes save on their own.
Good to know
- Only members of the workspace appear in the list. You can't mention a contact or someone who hasn't joined the workspace.
- The notification goes out when the note, task or activity is saved, or when you send the conversation note. Saving a note or a task again doesn't notify people who were already mentioned in it.
- Your teammate also gets an email if Email is on for Mentions in their notification preferences. Mention emails are grouped over about 3 minutes.
- Assigning a task with Assign, or adding someone to an activity as a participant, sends an Assignments notification instead.
FAQ
Can I mention someone who isn't in Breakcold yet?
No. Invite them to the workspace first. Once they've joined, they appear in the list.
