How do I link a conversation to a record by hand?
Updated October 19, 2026
Most conversations link to their record on their own (see How do conversations get linked to records?). Link by hand when the participant has no email, LinkedIn URL or phone number your records know, or when two records share it. You can link the same participant to several records, for example a person and their deal.
Step by step
- In the Inbox, open the conversation.
- Click Participant at the top right of the conversation. In an email with several people it reads Participants, with a count. The participants panel opens on the right.
- Under the person you want to link, click Link to another record.
- Type a name in Search records... and click the record in the results. Breakcold shows Record linked.
The record now appears as a card under the participant, and the conversation shows in the record's Last Interaction section.
Good to know
- The search menu also offers Create Person, Create Company and Create Deal (and your custom objects) for someone who isn't in your CRM yet. See How to create a record from a conversation.
- To undo a link, click Unlink on the record card in the participants panel. Breakcold shows Record unlinked.
- A link you make by hand stays, even if you later change the record's email or phone number.
- You can edit the linked record's fields directly on its card, and click Open record to see the whole record.
- Manage fields at the bottom of the panel chooses which record fields the cards show, and in which order.
- Linking only works from the conversation. There is no way to attach a conversation from the record page.
FAQ
I linked a conversation to the wrong record. What do I do?
Click Unlink on that record's card, then link the right one.
I created a duplicate by mistake. Can I fix it?
Yes. Merge the two records: their conversations end up on the one you keep. See How to merge duplicate records.
