How do I build a report with Chief of Staff?
Updated October 28, 2026
Reports are dashboards that Chief of Staff builds from your CRM. You say what you want to track, it writes the queries, checks them on your live data and picks the charts. Reports stay live: they refresh on their own.
Open Chief of Staff, then Reports in the left column.
Build a report
- Type what you want in Describe a report, for example "How fast we reply to inbound leads, by rep", then Build the report. Or pick a template under Start from a template.
- Chief of Staff builds the cards one by one. The report is a Draft: only you can see it.
- Check the cards. To change one, open it and use Edit with Chief of Staff.
- Click Save report, or Discard to delete the draft.
Templates
| Template | What it shows |
|---|---|
| Sales weekly pulse | Pipeline, wins, win rate and cycle time against last week. |
| Pipeline health | Stage conversion, stuck deals and where the drop-off is. |
| Rep leaderboard | Wins, meetings and activity per rep, ranked. |
| Inbox responsiveness | Inbound and outbound messages, and leads left without a reply. |
| Meetings & calls | Meetings and calls per rep and per week. |
| Customer onboarding | New customers, who owns them and who has gone quiet. |
| Account situation | Where each key account stands, read from emails, calls and deals. |
| Monday briefing | A start-of-week read: what moved, what's at risk, what to do first. |
Chief of Staff adapts a template to your pipelines and fields before you save.
Cards
- Charts: Number, Line, Bars, Ranking, Stacked, Funnel, Table and Donut.
- AI cards: written text, such as "What moved last week". Chief of Staff reads your emails, calls and deals to write them and keeps them up to date.
- Add card asks for a new chart, for example "Meetings booked per rep this month". You see the result before it's added.
- In a conversation, Pin to report on a chart adds it to a report. It stays live, not a snapshot.
- Open a card to see Explain (what it shows), Data (the rows behind it) and Settings (title, width, chart type).
- From a card's menu: Resize, Duplicate, Move to report…, Change chart type or Remove. Edit layout lets you drag cards around.
Filters
At the top of a report:
- Period: Today, This week, This month, Quarter or Custom, with Compare to previous period.
- Owner and Pipeline.
- Save as default keeps these filters for everyone who opens the report.
Some cards don't follow the period, for example the current pipeline. They say Does not follow the period.
Cards refresh every 15 minutes (Live · every 15 min). Click Refresh now for fresh numbers.
Share and export
Click Share:
- Private: only you.
- Workspace: members with analytics access. AI cards are written with your access to emails and calls, so Chief of Staff asks before sharing them.
- Public link: anyone with the link, read-only. Turn it off to break the link; turning it on again makes a new one.
From the report's menu, Export as PDF prints the report as it is.
Morning summary
Turn on Morning summary to get a short email before your day starts: the numbers, what changed and what's worth a look. It's sent on weekdays at 8:00 at first; change the time, time zone and days in its settings. Only the report's creator or a workspace admin can change it.
Good to know
- Building and editing a report uses your organization's AI usage. See How much can I use Chief of Staff?
- A workspace can hold up to 50 reports, with up to 24 cards each. A card shows up to 500 rows.
- A draft you don't save is deleted after 7 days.
- Deleting a report removes it for everyone it's shared with, and stops its morning summary and public link.
- Only the creator or a workspace admin can change who a report is shared with.
