How does the Chief of Staff Tasks list work?
Updated October 28, 2026
Chief of Staff watches your inbox, calls and pipeline in the background. When something needs you, it prepares the work and puts it in Your tasks: the reply is drafted, the field change is filled in, the deal is ready to create. You decide.
Open Chief of Staff, then Your tasks in the left column. The number next to Chief of Staff in the sidebar counts what's waiting.
What lands on your list
| Card | What it is |
|---|---|
| Reply | A lead wrote to you. The answer is drafted in your tone. |
| Follow-up | A conversation went quiet. The nudge is ready. |
| Chase | A contact is late on something they promised. |
| Meeting request | Someone asked to meet. Times to propose are ready. |
| Field update | A deal or contact field should change after an email or a call, for example the stage or the amount. |
| New deal | A conversation turned into an opportunity. |
| Document | A proposal or an attachment needs you. |
| Meeting prep | Before a meeting: who they are, what was said, what to ask. |
| After the call | The follow-up, notes and field changes from a recorded call. |
| Duplicate | Two records look like the same person or company. |
| Contacts to review | New contacts found in your accounts. |
When an AI employee prepared the card, its name comes first, for example Henry · Field update. Use Prepared by to see one employee's cards only.
Decide on a card
- Send, Apply, Create deal or Merge runs it. Most cards show Undo for a while after.
- Edit changes the draft or the values before you approve.
- Snooze brings it back For 1 hour, Tomorrow morning or Next week.
- Dismiss removes it and asks why, for example Bad draft or Already done.
- On a duplicate, click the record to keep, then Merge, or Not the same. A merge can be undone for 30 days.
Cards are sorted into Now, Today and Later. The tabs To do, Snoozed and Done keep track of them.
Triage mode
Click Triage to go through the list one card at a time, most valuable first, with the contact's history next to the card. When you approve a message here, it sends after 10 seconds, so you can still undo it. Wrong? tells Chief of Staff what's off.
Choose what lands here
The Settings tab holds What I do on my own: for each kind of card, Chief of Staff can do it itself (Auto), prepare it for you (Ask me) or skip it (Off). See What does Chief of Staff do on its own?
Good to know
- A card can show Expired or Replaced when the situation changed before you decided, for example after a newer message.
- An empty list says Nothing needs you: Chief of Staff keeps watching your inbox, calls and pipeline.
- Background work uses your organization's AI usage. When that part is used up, new cards wait until it refills. See How much can I use Chief of Staff?
