Who can connect accounts and see their messages?
Updated October 19, 2026
Your workspace role decides whether you can connect an account. Who can read that account's messages is decided by its owner, not by roles.
Who can connect an account
- Owners, Admins and Managers of the workspace can connect email, LinkedIn, WhatsApp and Telegram accounts in Settings → Accounts.
- Members and Viewers don't see the connect buttons. They can still use a teammate's account if it is shared with them.
- The person who connects an account becomes its owner. Only the owner can change its settings and who has access.
Who can read its messages
- The owner always sees every conversation of their account.
- A private account is visible to its owner only. Workspace Owners and Admins don't see it either.
- A shared account gives each teammate exactly what the owner ticked for them: every conversation, or only conversations linked to a record. A teammate with nothing ticked sees nothing.
- To reply, a teammate also needs a reply permission. See How do I share a connected account with my team?
What a teammate without access sees
Conversations they can't read don't appear in their Inbox. If they open a link to one, they see Private conversation and You need permission from the owner's name. The Ask for access button opens an email to the owner in their own email app. The owner then grants access in the account's Sharing settings.
Good to know
- Everyone in the workspace sees the list of connected accounts in Settings, Accounts, with each account's owner. They don't see the messages.
- A Member with a permission on a shared account reads it like anyone else with that permission. Their workspace role doesn't change what they can read.
- A conversation is linked to a record when it is attached to at least one record of your CRM, such as a person, a company or a deal.
