How do I set up Kyle, the automatic contact manager?
Updated October 19, 2026
Kyle creates or links People from the email and LinkedIn accounts you choose, so new relationships reach your CRM without typing them in. He matches existing People before creating anyone and keeps uncertain contacts aside for your review.
Step by step
- Open Employees in the sidebar and click Kyle.
- Click Set up Kyle. When Kyle already works for you, the button reads Edit setup.
- Under Where should Kyle find contacts?, tick the email and LinkedIn accounts Kyle should watch, then click Continue. Accounts a teammate connected are greyed out. Without a connected account, Kyle asks you to connect one first.
The rest of the setup
The next questions depend on the accounts you ticked. Click Continue after each one.
- Keep warm-up mail out of your CRM (email): Kyle checks your recent email and suggests a filter. Choose Yes, use this filter, No filter or Set filter manually (sender patterns, keywords, warm-up folders).
- Choose when Kyle starts (email): Only new incoming email, or Import the last 3 months of email already in Breakcold.
- When should Kyle add a LinkedIn contact?: When I have a new connection (sent or received), When my invites are accepted, or When I chat with someone qualified. With the last one, you also choose how to treat group conversations.
- Should Kyle import existing LinkedIn activity?: New activity only or Import existing history.
- Ready to put Kyle to work?: check the summary and click Confirm & hire Kyle.
Good to know
- New People appear in People like any other record. A history import runs in the background.
- Contacts Kyle isn't sure about wait for you: open Settings → Accounts, open the account and go to Kyle review. The tabs sort contacts into Eligible, Existing, Warmup, System, Automated, Synced and Review.
- To change his setup later, click Edit setup on his page. The last button then reads Save Kyle’s setup.
- To stop Kyle, open Edit setup, untick every account and click Take Kyle off duty. It stops him for the accounts you connected; teammates keep their own setup.
- The first warm-up check of each email account is free. Each later check, when you go through that step again, costs about 2 to 8 tokens.
