How do I add existing records to a pipeline?
Updated October 19, 2026
A record is in a pipeline when its stage field has a value. Putting a record in a stage sets that field: from the board, from a table, or from the record itself.
Step by step
- On your pipeline, click + at the top of the stage column where the record should go.
- Type part of the record's name, then click it in the list. It moves to this stage, and a message confirms Added to the stage.
Other ways
- Drag a card from one column to another to change its stage.
- Many records at once: open a table view of the same object (for example All Deals), tick the records, click Bulk edit in the bar at the bottom, choose the stage field and pick the stage. See How do I edit many records at once?
- One record: open it and change the stage field, or edit the cell in a table view.
Good to know
- The search finds records of the same object as the pipeline: deals on a Deals pipeline, people on a People pipeline.
- A record that is already in another stage moves to the new one. A record can't be in two stages of the same pipeline.
- A record in a stage you hid stays there. Show the stage again in Manage stages to see it.
- Adding a record to a stage needs the right to create records (any role except Viewer).
- A pipeline with filters only shows the records that match them. A record you add may disappear from the board if it doesn't.
