Why can't I mark some tasks as done?
Updated October 19, 2026
Some tasks are created by an AI employee to ask for your decision. Breakcold closes them by itself once you answer, so their Mark as done button is greyed out. When you point at it, you see a message such as "Zoe tasks can't be marked as done manually. Click the task to handle it."
Which tasks work this way
- Zoe, the duplicate detective, asks you to confirm possible duplicates or to say who a conversation belongs to. In the task, choose for example Merge into…, Keep separate or Defer. For a conversation, choose the matching person or Leave unlinked.
- Kyle asks you to identify a caller he couldn't match, when you use calling. Choose Create person, Link record or Dismiss.
Karen's follow-up tasks are ordinary tasks: you can mark them as done like any other. See How do I mark a task as done?
How to handle them
- Click the task to open it.
- Read what the employee found and pick an answer. The task closes on its own.
Good to know
- These tasks can't be edited or deleted either. Their right-click menu only has Open task and Copy link.
- If you select them with other tasks and click Mark as done in the selection bar, they're skipped.
- To see them all, click the Employee card above the task list: it shows the open tasks created by AI employees. You can also click Filter, then Task origin, then Employee or Origin.
- If you can't pick an answer, the task tells you which access you're missing: edit access to records, or calling access for callers.
